If you’re reading this, there’s a good chance that you have an email account. You may well have several – perhaps separate accounts for professional and personal contacts。

It’s easy to assume that we know how to use email effectively: it’s been around for long enough. But if you find yourself struggling to communicate effectively by email, these six tips should help:

1. Start With an Appropriate Salutation
邮件开头称呼要恰当:
Some people jump straight into the text of an email without so much as a “hi”. It’s polite to add a salutation, just as you would with a letter. That might look like:
有些人写邮件不喜欢加称呼,甚至连简单的“你好”都忽略,直接开始正文内容。孰不知就像在传统的信件上一样,写上称呼是一种礼貌的象征。称呼可以这样写:
#Dear Sir/Madam 亲爱的先生/女士

Your salutation needs to be appropriate. If you’re writing to a prospective employer, “Dear Mr. Johnson” is probably the best way to go. “Hi Bob” is going to look unprofessional。
称呼必须恰当。若邮件对象是你未来的上司,“亲爱的约翰先生”这样的称呼应该为最得体的。像“你好,鲍勃”更适用于随意的场合。
But don’t assume that formality is always the right answer. If you’re writing to a friend of a friend, using “Dear” plus their surname is going to seem oddly stilted。
那么,是不是正式的用语就万能呢?绝对不是。若你给你朋友的朋友写邮件,那用“亲爱的+姓”就显得异常别扭。
If in doubt, “Dear [first name]” will usually work just fine。
当你判断不出哪种场合该用什么称呼合适,你可以使用“亲爱的+名”来应付所有情况。
2. Get Straight to the Point
直奔主题
Your correspondent won’t want to wade through paragraphs of waffle – so get straight to the point. If you’re writing to someone out of the blue, don’t give them your life story before you make a request。
相信阅读你邮件的人不会愿意仔细浏览你那空洞无聊的长篇大论,所以你需要直奔主题。如果你想写封邮件安慰某个心灵受伤的朋友,开头先把你的建议亮出来,然后再用你的亲身经历来辅助说明。
Getting straight to the point might mean that the first line of your email (after the salutation) looks something like this:

You may well need to include more details, but if you put the important point up front, your email is more likely to get a timely response. If your question comes too far down, the recipient may not even realise that you need a reply。
当然,你需要再增加更多的细节内容。若将邮件重点放到内容的开头,你将收到更加及时的回复信息。如果你的问题在邮件后头,收信人可能都不会意识到你在等他回复。
3. Keep it Short
内容言简意赅
Try to keep your email as short as possible. Make the paragraphs short, too – long paragraphs can be difficult to read and take in。
尽可能将你的邮件内容写得简单明了。文章太长不易阅读和吸收。
Do make sure you give enough information for your correspondent to be able to make a decision, if that’s required. You might find that it’s best to offer this as an attachment – you’ll have more flexibility over formatting, and your correspondent can print out the attachment easily。
若对方需要通过你的邮件来做决策,那你一定要在邮件中将相关信息写完整。为了能更灵活地排版,你可以把这些信息作成附件形式,以方便对方将其打印出来。
4. Use Numbered Points
将内容编号
If you’ve got several questions or points to make, it’s very helpful to number them. This makes it easy for the other person to respond to each one, especially if some just require a yes/no response or a single word answer. For instance:
对于那些为了咨询或提供各种问题的邮件,最好将问题一点一点的列举出来,以便于他人对每个问题作答,尤其当某些人更倾向于对问题只回答“是”和“否”的时候。例如:

It’s also useful to list your questions or points as bullets in this way; if you write a single paragraph, some of your questions might get missed。

5. Re-read and Use Spell-Check
重新阅读一篇,校对拼写错误
A typo or spelling mistake can turn one word into an entirely different one. If you’re using email in a professional capacity, that mistake could be embarrassing – or even offensive. It might alter the whole meaning of your email: a missing “not”, for instance, could potentially cause problems。
排版或拼写错误有时能导致对一个单词的误解。尤其当你用邮件来沟通专业性内容时,这样的错误就很尴尬,甚至有些失礼。它可能改变你整个邮件的意思。比如:少写了个“不”,就可能会引起某些问题。
Spell-check should help you avoid any silly mistakes – but use your eyes and brain too. There are plenty of words that spell-check won’t pick up. If you’re emailing from a device with predictive text and an auto-correct feature, make sure you always re-read what you’ve typed。
因此检查拼写将避免你犯这些低级错误,但这里强调——不仅仅用眼睛检查,还得用大脑思考。有些错误不一定能轻易检查出来。如果你的邮件系统有字句联想功能和自动纠错功能,一定要把写出来的内容再通读检查一遍。
6. Make Your Signature Useful

Do you have an email signature? (That’s the text that appears automatically at the bottom of your email。) Some people don’t use one at all; others have a funny quote or favorite saying。

Whether you’re using email for professional or personal reasons, make your signature useful for both you and your recipient. That might mean:

If your email provider allows it, you may even want to create several signatures to use for different purposes (e.g. one for emailing friends, one for new business contacts)。

In most colleges and universities the examination is used as a chief means of deciding whether a student succeeds or fails in mastering a particular subject. Although it does the job quite efficiently, its side effects are also enormous.
To begin with, examinations lower the standards of teaching. Since teachers are often judged by examination results, they are reduced to training their students in exam techniques. No subjects can be taught successfully merely through being approached with intent to take examinations. In addition, the most undesirable effect is that examinations encourage bad study habits. 发邮件的礼仪汇总---让优秀成为习惯
关于主题
主题要提纲挈领,添加邮件主题是电子邮件和信笺的主要不同之处,在主题栏里用短短的几个字概括出整个邮件的内容,便于收件人权衡邮件的轻重缓急,分别处理。
1.一定不要空白标题,这是最失礼的。
2.标题要简短,不宜冗长,不要让outlook用?才能显示完你的标题。
3.. 最好写上来自**公司的邮件,以便对方一目了然又便于留存,时间可以不用注明,因为一般的邮箱会自动生成,写了反而累赘。
4.标题要能真反映文章的内容和重要性,切忌使用含义不清的标题,如 “王先生收”。也不要用胡乱无实际内容的主题,例如:“嘿!”或是“收着!”
5.一封信尽可能只针对一个主题,不在一封信内谈及多件事情,以便于日后整理
6.可适当用使用大写字母或特殊字符(如“* !”等)来突出标题,引起收件人注意,但应适度,特别是不要随便就用“紧急”之类的字眼。
7.回复对方邮件时,应当根据回复内容需要更改标题,不要RE RE一大串。
8、最最重要的一点,主题千万不可出现错别字和不通顺之处,切莫只顾检查正文却在发出前忘记检查主题。主题是给别人的第一印象,一定要慎之又慎。
关于称呼与问候
1. 恰当地称呼收件者,拿捏尺度
邮件的开头要称呼收件人。这既显得礼貌,也明确提醒某收件人,此邮件是面向他的,要求其给出必要的回应;在多个收件人的情况下可以称呼大家、ALL。
如果对方有职务,应按职务尊称对方,如“x经理”;如果不清楚职务,则应按通常的“x先生”、“x小姐”称呼,但要把性别先搞清楚。
不熟悉的人不宜直接称呼英文名,对级别高于自己的人也不宜称呼英文名。称呼全名也是不礼貌的,不要逮谁都用个“Dear xxx”,显得很熟络。
关于格式,称呼是第一行顶格写。
2. Email开头结尾最好要有问候语
最简单的开头写一个“HI”,中文的写个”你好”或者“您好”,开头问候语是称呼换行空两格写。
结尾常见的写个Best Regards,中文的写个”祝您顺利”之类的也就可以了,若是尊长应使用“此致敬礼”。注意,在非常正式的场合应完全使用信件标准格式,“祝”和“此致”为紧接上一行结尾或换行开头空两格,而“顺利”和“敬礼”为再换行顶格写。
俗话说得好,“礼多人不怪”,礼貌一些,总是好的,即便邮件中有些地方不妥,对方也能平静的看待
正文
1. Email正文要简明扼要,行文通顺
若对方不认识你,第一件应当说明的就是自己的身份,姓名或你代表的企业名是必须通报的以示对对方的尊重,点名身份应当简洁扼要,最好是和本邮件以及对方有关,主要功能是为了收件人能够顺利地理解邮件来意。不可没头没脑就是正事,别人不知道你是谁还得拉到最后看。但也不可过多,有些联系方式之类与正文无关的信息应在签名档中表明。
Email正文应简明扼要的说清楚事情;如果具体内容确实很多,正文应只作摘要介绍,然后单独写个文件作为附件进行详细描述。
正文行文应通顺,多用简单词汇和短句,准确清晰的表达,不要出现让人晦涩难懂的语句。最好不要让人家拉滚动条才能看完你的邮件,千万不要学唐僧。
2. 注意Email的论述语气
根据收件人与自己的熟络程度、等级关系;邮件是对内还是对外性质的不同,选择恰当的语气进行论述,以免引起对方不适。
尊重对方,请、谢谢之类的语句要经常出现。
电子邮件可轻易地转给他人,因此对别人意见的评论必须谨慎而客观。 “邮件门”就是深刻的教训!
3. Email正文多用1234之类的列表,以清晰明确。
如果事情复杂,最好1、2、3、4的列几个段落进行清晰明确的说明。保持你的每个段落简短不冗长,没人有时间仔细看你没分段的长篇大论。
4. 一次邮件交待完整信息
最好在一次邮件中把相关信息全部说清楚,说准确。不要过两分钟之后再发一封什么“补充”或者“更正”之类的邮件,这会让人很反感。
5. 尽可能避免拼写错误和错别字,注意使用拼写检查
这是对别人的尊重,也是自己态度的体现。如果是英文Email,最好把拼写检查功能打开; 如果是中文Email,注意拼音输入法带给你的弱智同音别字。
在邮件发送之前,务必自己仔细阅读一遍,检查行文是否通顺,拼写是否有错误。
6. 合理提示重要信息
不要动不动就用大写字母、粗体斜体、颜色字体、加大字号等手段对一些信息进行提示。合理的提示是必要的,但过多的提示则会让人抓不住重点,影响阅度。
7. 合理利用图片,表格等形式来辅助阐述
对于很多带有技术介绍或讨论性质的邮件,单纯以文字形式很难描述清楚。如果配合图表加以阐述,收件人一定会表扬你的体贴。
8. 不要动不动使用 :) 之类的笑脸字符,在商务信函里面这样显得比较轻佻
Business Email 不是你的情书,所以:)之类的最好慎用。只用在某些你确实需要强调出一定的轻松气氛的场合,比如现在-:)
附件
1. 如果邮件带有附件,应在正文里面提示收件人查看附件
2. 附件文件应按有意义的名字命名,最好能够概括附件的内容,方便收件人下载后管理
3. 正文中应对附件内容做简要说明,特别是带有多个附件时
4. 附件数目不宜超过4个,数目较多时应打包压缩成一个文件
5. 如果附件是特殊格式文件,因在正文中说明打开方式,以免影响使用
6. 如果附件过大(不宜超过2MB),应分割成几个小文件分别发送,
语言的选择和汉字编码
1. 只在必要的时候才使用英文邮件
英文邮件只是交流的工具,而不是用来炫耀和锻炼英文水平的。如果收件人中有外籍人士,应该使用英文邮件交流;如果收件人是其他国家和地区的华人,也应采用英文交流,由于存在中文编码的问题,你的中文邮件在其他地区可能显示成为乱码天书。
2. 尊重对方的习惯,不主动发起英文邮件
如果对方与你的邮件往来是采用中文,请不要自作聪明的发送英文邮件给他;如果对方发英文邮件给你,也不要老土的用中文回复。
3. 对于一些信息量丰富或重要的邮件,建议使用中文。你很难保证你的英文表达水平或收件人中某人的英文理解水平存在问题,而影响邮件所涉及问题的解决。
4. 选择便于阅度的字号和字体
中文老实点用宋体或新宋体,英文就用Verdana 或 Arial 字型,字号用五号或10号字即可。这是经研究证明最适合在线阅度的字号和字体。
不要用稀奇古怪的字体或斜体,最好不用背景信纸,特别对公务邮件。不要为突出内容而将字号设置过大,拉滚动条是很麻烦的事情;也不要过小,费神又伤眼睛。
结尾签名
每封邮件在结尾都应签名,这样对方可以清楚的知道发件人信息。虽然你的朋友可能从发件人中认出你,但不要为你的朋友设计这样的工作。
1. 签名信息不宜过多
电子邮件消息末尾加上签名档是必要的。签名档可包括姓名、职务、公司、电话、传真、地址等信息,但信息不宜行数过多,一般不超过4行。你只需将一些必要信息放在上面,对方如果需要更详细的信息,自然会与你联系。
引用一个短语作为你的签名的一部分是可行的,比如你的座右铭,或公司的宣传口号。但是要分清收件人对象与场合,切记一定要得体。
2. 不要只用一个签名档
对内、对私、对熟悉的客户等群体的邮件往来,签名档应该进行简化。过于正式的签名档会让与对方显得疏远。你可以在OUTLOOK中设置多个签名档,灵活调用。
3.签名档文字应选择与正文文字匹配,简体、繁体或英文,以免成出现乱码。字号一般应选择比正文字体小一些。
回复技巧
1. 及时回复Email
收到他人的重要电子邮件后,即刻回复对方一下,往往还是必不可少的,这是对他人的尊重,理想的回复时间是2小时内,特别是对一些紧急重要的邮件。对每一份邮件都立即处理是很占用时间的,对于一些优先级低的邮件可集中在一特定时间处理,但一般不要超过24小时。
如果事情复杂,你无法及时确切回复,那至少应该及时的回复说”收到了,我们正在处理,一旦有结果就会及时回复,云云”。不要让对方苦苦等待,记住:及时作出响应,哪怕只是确认一下收到了。
如果你正在出差或休假,应该设定自动回复功能,提示发件人,以免影响工作。
2. 进行针对性回复
当回件答复问题的时候,最好把相关的问题抄到回件中,然后附上答案。不要用简单的,那样太生硬了,应该进行必要的阐述,让对方一次性理解,避免再反复交流,浪费资源。
3. 回复不得少于10个字
对方给你发来一大段邮件,你确只回复“是的”、“对”、“谢谢”、“已知道”等字眼,这是非常不礼貌的。怎么着也要凑够10个字,显示出你的尊重。
4. 不要就同一问题多次回复讨论,不要盖高楼
如果收发双方就同一问题的交流回复超过3次,这只能说明交流不畅,说不清楚。此时应采用电话沟通等其他方式进行交流后再做判断。电子邮件有时并不是最好的交流方式。
对于较为复杂的问题,多个收件人频繁回复,发表看法,把邮件越RE越高,这将导致邮件过于冗长笨拙而不可阅读。此时应即是对之前讨论的结果进行小结,删减瘦身,突出有用信息。
5.要区分Reply和Reply All(区分单独回复和回复全体)
如果只需要单独一个人知道的事,单独回复给他一个人就行了
如果你对发件人提出的要求作出结论响应,应该replay all,让大家都知道;不要让对方帮你完成这件事情 。
如果你对发件人的提出的问题不清楚,或有不同的意见,应该与发件人单独沟通,不要当着所有人的面,不停的RE来RE去,与发件人讨论。你们讨论好了再告诉大家。不要向上司频繁发送没有确定结果的邮件。
点击“回复全部”前,要三思而行!
6. 主动控制邮件的来往
为避免无谓的回复,浪费资源,可在文中指定部分收件人给出回复,或在文末添上以下语句:“全部办妥”、“无需行动”、“仅供参考,无需回复”。
正确使用发送,抄送,密送
要区分To和CC还有BCC(区分收件人、抄送人、秘送人)
1. To的人是要受理这封邮件所涉及的主要问题的,理应对邮件予以回复响应。
2. 而CC的人则只是需要知道这回事,CC的人没有义务对邮件予以响应,当然如果CC的人有建议,当然可以回Email。
3. 而BCC是秘送,即收信人是不知道你发给了BCC的人了的。这个可能用在非常规场合。
4.TO,CC中的各收件人的排列应遵循一定的规则。比如按部门排列;按职位等级从高到低或从低到高都可以。适当的规则有助于提升你的形象!
5.只给需要信息的人发送邮件,不要占用他人的资源
6、转发邮件要突出信息
在你转发消息之前,首先确保所有收件人需要此消息。除此之外,转发敏感或者机密信息要小心谨慎,不要把内部消息转发给外部人员或者未经授权的接收人。如果有需要 还应对转发邮件的内容进行修改和整理,以突出信息。不要将RE了几十层的邮件发给他人,让人摸不着头脑。
不发送垃圾邮件或者附加特殊链接。

清楚了吧,在你的标题里,要告诉收你邮件的人:
(1)他需要做什么 (2)邮件的出处在哪
然后就是XXXXXXXX了,XXXXXXX是做什么的呢,当然要一句话概括清楚邮件的内容, 如:关于本月校园推广的方案计划;新产品的上线计划意见咨询
总之,标题需要解决的问题就是,出处+主要内容+让对方做什么
3.邮件开始,“某某您好”,邮件最后永远都要说,“谢谢”,然后署名和日期,或者设置自动签名档。
4.如果是报告、方案,无论给老板,还是给同事,要不给合作伙伴,记得最后说“请审阅”三个字,你一点都不会吃亏。
6.多人协作的事情,记得回复(转发)邮件的时候,选择带原文回复,让别人清楚整件事情的来龙去脉。
7.邮件如果带附件,请记得要把附件粘贴上去,尤其是给你老板发邮件的时候,这样的错误一定会犯,但不要犯三次以上。有附件的邮件,请在正文中说明,“XX在附件中,请查阅”,以告诉别人这是一封有附件的信。

二、规范财务管理,加强内控管理,规范经营,挖掘新的业务增长点
(一)为更好的完成支行交予的年度财务工作,我严格按照农总行财务制度规定,认真编制财务收支计划,及时准确的进行各项财务资料的报送,并于每月、季末进行详细地财务分析。
(二)在员工中经常开展职业道德教育,引导员工树立爱岗敬业、诚实守信、热爱农行、服务农行、奉献农行的职业道德。并按总行要求,积极查找差距,制定严格的管理监督体系及奖罚制度,使员工能严格执行各项规章制度和业务操作规程,做到依法办事,合规经营。
